ABOUT THE ROLE

The Director of Facilities will report to the Chief Operating Officer. This position will be responsible for maintaining Newlab’s Brooklyn real estate facilities and managing member service. This includes vendor management, budgeting, and monitoring costs, overseeing various building improvement projects, and managing the facilities team.

Key Responsibilities

  • Manage all vendor and contractor relations for the department, ensuring compliance with agreements, adherence to policies and standards, optimal functioning of all building systems (mechanical, fire safety, elevators, etc.), and maximization of cost savings opportunities
  • Provide strategy and project management oversight for immediate and long range repair and maintenance projects
  • Identify, strategize, and manage the execution of special projects, such as long term repair needs related to operations; keep all stakeholders updated on the process as appropriate; coordinate with appropriate parties to ensure quality control measures are met through entire project lifecycle and work collaboratively with internal teams to ensure design intent needs are met
  • Manage budget lifecycle of overall department’s budget and provide strategic support to leadership in annual budget allocation and planning and participate in quarterly departmental budget reviews
  • Develop a system of key performance indicators (KPIs) to benchmark performance and improve departmental operational efficiency
  • Support COO in the development, implementation, and tracking of quarterly objectives and key results (OKRs) for the Operations Department, and oversee the tactical implementation of departmental strategy under the Operations strategic plan
  • Partner with departments such as Marketing, Events, Programs, and Education to ensure that their program needs are met
  • Oversee the Facilities & Custodial team, composed of eight staff members, prioritize and assign the daily work orders, respond to time sensitive/critical requests and create plans for longer term repair and maintenance work
  • Ensure high standards of cleanliness and that staff schedules are in line with work needed, and that tasks are appropriately assigned. Plan for specific projects, such as the studio events and the annual party
  • Oversee the cafe operations
  • Support the COO on overseeing general operations administration and related matters

Qualifications and Skills

  • 5+ years of building and facilities management experience; start-up experience a plus 
  • Fluent / advanced understanding of Spanish highly preferred
  • Real estate administration experience, including experience in a supervisory or management capacity
  • Experience in providing hospitality through space and service to a community of customers or tenants
  • Expertise with project management including short-term and long-term planning, budgeting, cost estimating and management, design, contracts, construction oversight, facility commissioning, and reporting
  • Experience overseeing custodial and engineer/technical staff
  • Demonstrated ability to achieve high results in ongoing cleanliness and maintenance
  • Intimate familiarity with office management, IT, and security needs, including knowledge of facilities-related laws and regulations
  • Ability to perform under pressure and provide timely solutions
  • Ability to handle multiple projects simultaneously and be flexible to change priorities
  • Exceptional interpersonal, written and oral communication, and a customer service mindset
  • Ability to creatively problem solve with diplomacy and humor
  • Effective analytical and problem-solving skills, as well as high attention to detail and organizational skills
  • Aptitude for collaboration and leadership
